What personal information we collect when you use the Form 888 and relationship statement tools, why, where it's kept, how long we keep it and how to have it deleted.
Last updated 26/10/2026
In short
- We collect only what Form 888 and the relationship statement topics ask for, plus your email so we can give you your files.
- Names, addresses, contact details and statements are encrypted before they are stored.
- Answers are deleted 30 days after the case was created or paid for, whichever is later. You can delete everything sooner from your dashboard.
- We never ask for ID documents, and the official form and the finished PDFs are made in your browser: they never reach our servers.
- No accounts, no advertising, no cookies. We count visits with cookieless analytics. We don’t sell or share your information for marketing.
Who we are
Partner Visa Kit (partnervisakit.com) is run by Arif Ali, a private individual in India (full address in our terms), who is responsible for your information. It is a sister product of ApprovaVisa, which shares the support and order management (about us). It is not affiliated with the Department of Home Affairs. For anything about your information, write to support@approvavisa.com.
What we collect and why
- From the couple: your email address, the visa applicant’s and partner’s names, the visa type and, if you add them, your Transaction Reference Number and file number. We use these to set up your case, show the names to your witnesses for questions 1 and 2, and contact you about your order.
- About each witness, from the couple: the name you know them by and, optionally, their email address, only to prefill your invitation.
- From each witness: the answers to the form’s questions: name, residential address, phone numbers, email, how long they’ve known the couple, their statements, and whether they will attach ID evidence. We use these only to prepare their Form 888.
- From each partner writing a relationship statement: their answers to the statement topics (how you met, your life together, your plans and so on). We use these only to prepare their statement PDF.
- When a witness or partner approves their statement: a one-way hash of their IP address and the time, as a record that they approved it. We don’t keep the IP address itself.
- Payments: handled by our payment provider, Dodo Payments, as merchant of record. We never see your card details. We keep the payment record (amount, date, payment reference and your email) for accounting.
- Visits: we use Vercel Web Analytics to count page views. It uses no cookies and stores nothing on your device. It receives the page address without any query string, with private case, witness and statement links masked (for example, “/w/[token]”), plus the referring site and general device and country information. We use it only to see which pages are useful.
- Waitlists: if you join a waitlist (for example, for the Evidence Pack), your email, encrypted. We use it only to email you once when that tool opens, then delete it. Ask us any time to remove it sooner.
We don’t collect ID documents. Each witness gives copies of their ID evidence to the couple directly.
What stays on your device
- The couple’s private dashboard key is remembered in your browser so you can come back without the link.
- A witness’s or partner’s unfinished answers are also kept in their browser, so nothing is lost if the connection drops. They’re cleared when the statement is approved.
- The official Form 888 you download from Home Affairs is filled in by your browser, and relationship statement PDFs are made by your browser too. The finished PDFs are created on your device and are not uploaded to us.
How we protect it
Personal details and statements are encrypted (AES-256) before storage. The private links for the couple, each witness and each statement are long random keys, and we store them only in a scrambled (hashed) form. Each witness or statement link shows only the two names and the visa type, never the couple’s email or reference numbers.
Where it’s stored, and who helps us
Case records are stored with Cloudflare (R2 storage); the website runs on Vercel, which also provides our visit counting; payments go through Dodo Payments; emails we send go through our email provider. These providers may store or process information outside Australia. We use them only to run this service.
How long we keep it
A case, its witnesses’ answers, its relationship statements and the links are deleted automatically 30 days after the case was created, or after payment if that’s later. The payment record is kept as long as accounting and tax law require. Our providers may keep short-lived backups and logs for security.
Your choices and rights
- The couple can delete the whole case at any time from the dashboard (“Delete my data”).
- A witness can change their answers until they approve them, and can ask the couple to remove them before approval.
- Each partner can change their relationship statement until they approve it.
- You can ask us to access, correct or delete your information by writing to support@approvavisa.com.
- We aim to handle personal information in line with the Australian Privacy Principles. If you’re not happy with our answer, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
Cookies
We don’t use cookies, including for analytics or advertising. The tool uses your browser’s local storage only for the two things described above. See also our terms and refunds.
